Our client is a global PR agency

They work with some of our best loved consumer brands and with clients making a social impact. Working with their EMEA CEO and the London Board of Directors (5 in total), you’ll ensure the smooth running of the agency. In addition to administrative and EA support, you’ll also have an active role in business operations – supporting on new business, marketing, client relations, for example, as well as being the cultural glue on all things social. It’s a new role for the business, so you’ll have the opportunity to help shape parts of it and there’s plenty of scope for growth.

The successful candidate will be detail orientated, able to work under pressure in a deadline driven role, always remaining one step ahead. This is an incredibly busy role with the occasional need to flex hours when the Execs are travelling or pitching. You’ll have a can-do attitude and create a positive impression for both internal and external stakeholders.

Responsibilities:

• Supporting the EMEA CEO & Directors by managing diaries; prioritising appointments, arranging and coordinating meetings, as well as supporting with event planning
• Organising and attending key meetings including the monthly board meet, managing agendas and ensuring follow-up actions are completed
• Ensuring documents and information are gathered and produced in advance of meetings, liaising with other teams/ offices where needed
• Doing ad-hoc administrative tasks such as organising travel arrangements, expenses management, etc.
• Day-to-day management of the office, including building management, including maintenance, catering, security, etc.
• Collaborating with the London Board team to implement and sustain effective business processes
• Culture & People: Fostering a positive and engaging work environment by providing an exceptional experience for London-based team members
• Business development: For example, researching for pitches, pulling together content for RFI/RFPs, updating case studies, calling prospects
• Marketing: For example, supporting the VP, Global Marketing & Comms, for example sharing reports with key clients, writing award submissions, managing design projects, and proofing content for social media channels
• Client relations: For example, liaising with clients on behalf of client leads, leading review meetings as exec support to EMEA CEO and being first point of contact for EMEA CEO
• Leading the Social Committee by organising social activities and events to facilitate cultural support and team building
