Ideal Candidate:

With a background as an EA to senior directors, you will understand the dynamics of working in a fast-paced environment. Additional experience with various devices – iPhones, iPads, etc – and ability to quickly troubleshoot straightforward issues is key. Complete confidentiality around all areas of business activity is crucial. As well, we’re looking for someone with excellent interpersonal skills as you will often be a first point of contact for the CEO. The successful applicant will need to be proactive and resourceful, and have the confidence and experience to deal with tight deadlines and various demands.

Key Tasks:

Diary Management:

· Inputting of all meetings into CEO’s diary using Outlook and re-confirmation of all arrangements, including restaurant bookings
· Pro-actively coordinating, preparing for and following up on all recurring meetings eg. monthly board meetings

Credit Card and Expenses:

·  Regular expense processing for CEO, using Netsuite

Messages and Call Screening:

· Ensuring all messages are responded to, being aware of client priority levels and CEO’s workloads
· Building professional relationships to enable informed awareness of levels of importance/priority when dealing with contacts for diaries, calls and correspondence

Travel:

· Booking taxis and couriers via Addison Lee account, using accurate information and noting the purpose of the booking to assist the finance team with their monthly reconciliation of invoices
· Assisting the CEO with travel arrangements – liaising with the in-house travel team to get quotes for travel & accommodation; completing travel request form for the Finance Director’s approval; booking and confirming logistics and ensuring schedules are maintained
